Providers

Overview

Providers are the entities that receive payouts from your transactions. They can be a person or an entity that makes sense in your business context. For example, in a healthcare practice, a provider can be a doctor, nurse, or therapist. In a retail context, a provider can be a salesperson or vendor.

Providers are automatically created when you import transactions. Each unique provider in your import file becomes a provider record in Track 2 Pay.

Managing Providers

Viewing Providers

Navigate to the Providers page to see all providers in your account. From here you can:

  • Search for providers by name
  • View provider details
  • Edit provider information
  • Associate providers with user accounts

Provider Details

Each provider has the following information:

Provider Unique IDs

Unique IDs are identifiers that help Track 2 Pay match incoming transactions to the correct provider. When you import transactions, the system uses these IDs to link transactions to existing providers or create new ones.

A provider can have multiple unique IDs. This is useful when the same provider appears in different source systems with different identifiers (e.g., name in one system, NPI number in another).

Provider Access

Providers can log into Track 2 Pay to view their own transaction and payout data. To set up provider access, first add a user account with provider permission:

  1. Go to your account settings.
  2. Click on the Team tab.
  3. Invite the user with the Provider permission level.

Then associate the invited user to one or more provider records:

  1. Navigate to the Providers page.
  2. Click on the provider you want to give access to.
  3. In the provider details, click Associate User.
  4. Select a user to associate.

TIP

Users with the Provider role can only see transactions and payouts associated with their linked provider record. They cannot view other providers' data or modify any records.
